    All actions performed in StorMan (regardless of whether they're were performed by a human operator or the program) are logged in our detailed, searchable Event Log, which is perfect for site managers or owners who need to audit security, or perform deep database investigation if required.

    Events are logged against the user that performed them and as all users of the StorMan program can have their own individual login & password, it's easy for facility managers and owners to ensure staff are using the program correctly, and not under-selling storage to your customers (or ripping off your business).

    StorMan features an automated idle timeout system which will log-out the current StorMan user if / when the machine has not been used for a predetermined amount of time. This is handy, should a member of staff member be called out into the facility to assist a customer, or show a new / potential customer around the facility.     StorMan always keeps all customer data - forever. As such, customer archiving is always active and running within the program. Once a customer moves out, their details remain in the system automatically and get set as "non-active"; yet you can always find them using various search tools.

    The beauty of automatic archiving is that you can market to previous storers using many of our powerful mail-merge tools & marketing reports. Should an old customer move back in again, all of their contact details can be populated from previous data automatically. Furthermore, if they were a bad payer or dirty storer, you can also view this type of information if it was stored in the database previously.

    Using our Rent Increase Wizard, you can also adjust rent rates across the board based on a custom formula system. Rent adjustments can be both fixed dollar values or percentages. Or both!

    So rather than open a letter with "Dear Customer", you can insert a reference to automatically grab the customer's name when the document is generated. References to almost any data filed may be inserted into notices - giving you a tonne of flexibility!

    Simply draw your map in StorMan, mark out the office, fire extinguishers and garden areas, and your facility map is now ready to use. The map is also live, which means units change colour depending on their status (vacant, reserved, occupied, to be cleaned, etc).

    As the map is directly linked to the StorMan customer database, units can be clicked for viewing (in order and see data for the customer currently occupying that unit), new move-ins can be performed, and so on... all straight from the map.

  • Label printing

    StorMan includes built-in tools to design & print your own labels both on an one-off basis when required, and also automatically after Daily Processing (our Automated Customer Billing System).

  • Multiple billing plans
    ?

    In StorMan, it's the Billing Plan that defines how often a customer gets billed, whether they get a discount, whether the discount gets removed upon early termination of a longer billing plan (e.g.: a 12-month stay) and so on.

    Our Billing Plans are very flexible - you can have as many as you like, they can do daily, weekly & monthly rates (including multiples, such as 2 weeks, 3 months, etc), provide discounts based on a percentage or a fixed-rate, remove discounts if the customer breaks a contract, and automatically revert back to another plan at the end. Clever stuff!

  • Multiple notice plans
    ?

    Notice Plans are a set of defined letters, emails or text messages (aka 'Notices') that are sent to customers when specific triggers are met - for example, when a credit card or insurance expiry date is coming up, when rent is late or when an invoice is due.

    StorMan allows for unlimited Notice Plans - which is great, because you might not like to tell your Government customers that they're about to be locked out of your facility, just because they've taken a little longer to pay this month... whereas that might be fine for your standard Residential customers. Notice Plans are incredibly flexible.

  • Multiple PINs per agreement
    ?

    If you have large corporate customers that require a number of different staff members to access their unit, why not give each staff member their own access code? It's a great selling tool to be able to provide your client with accurate audit logging. With StorMan, it's possible (so long as it's allowed by one of our supported access control systems).

  • Notes

    Store additional information (on any topic) within customer files by way of our Notes section. These can even be categorised (see "Note categories") for easy sorting & printing at a later date.

    Aside from any custom notes you elect to enter against your customer files (see "Notes", above), StorMan will also automatically populate a customer's Notes section based on certain events - such as a quote being accepted, a SMS delivery receipt, a credit card being declined, etc. Note that some of the aforementioned events require 3rd-party accounts with other providers.

    Customer invoices can be printed either ad-hoc (eg. when a customer requests a copy) or as part of Daily Processing - with or without a cover letter.

    StorMan has integrated email invoicing - which means your invoices can be in your customer's virtual mailboxes seconds after you generate them, as a PDF file attachment.

    Invoices can be either generated & sent automatically on the fly during what we call "Daily Processing", or on an one-off / per-customer basis if you need to.

  • Stock (inventory) discount plans

    If you use our built-in stock management system (see "Stock (inventory) management" below), you can setup plans to offer discounts based on item quantities.

    If you sell stock items such as boxes, locks, packaging tape and so on, why not use StorMan's built-in inventory management system? If you enter your supplier buy price for items, StorMan can be used to calculate profit margins and the program will even prohibit items from being sold under a certain price, if setup to do so.

    Create stock packs which automatically adjust the system's inventory levels whenever a pack is purchased. Perfect for creating move-in packs for new customers!
